TL;DR

  • โ†’Customer review management comes down to four steps: collect, centralize, respond, analyze.
  • โ†’Replying to every published review, positive or negative, reassures future buyers.
  • โ†’An unhappy customer lands on a feedback page, your team gets an alert and the customer always keeps the choice to publish.

Customer review management is the process of collecting, centralizing, responding to and analyzing the reviews your customers leave on Google, Trustpilot and other platforms. It shapes your reputation and the buying decision of every prospect who reads them.

It is the operational layer of your business online reputation: without an active system, the platforms build your image for you.

Four steps structure the work: collect, centralize, respond and analyze. According to an Ifop study (January 2026), 93% of consumers read reviews before buying and 83% have abandoned a purchase because of negative reviews. Each step touches your revenue.

How do you collect customer reviews automatically?

Spontaneous reviews rarely represent all of your customers, so ask for them right after delivery, while the experience is fresh. Review Collect triggers the request after each delivered order by WhatsApp, SMS, email or QR code, then sends each satisfied customer to one platform at a time: Google, Trustpilot, Verified Reviews, G2 or Capterra, with a split you configure.

The gain is measurable: a 40% collection rate with an automated sequence, against 2 to 3% for a classic email reminder, and 30 times more reviews in 30 days on average during the first month. See review collection.

When should you ask for a review?

Ask once the customer has received and tried the product: after delivery in e-commerce, not after payment, and at the end of the job for a service. Too early and the request goes unanswered. Too late and the customer has forgotten the experience. Test one delay, measure the collection rate, then adjust.

How do you centralize your Google, Trustpilot and Verified Reviews ratings?

Every platform has its own inbox, its own notifications and its own rating, so a negative review can sit unanswered for days. One dashboard fixes that. Review Collect centralizes your reviews on a single screen, with the evolution of your rating over 30, 60 and 90 days.

How do you respond to positive and negative reviews?

Reply to every published review: according to an Ifop study (January 2026), 58% of consumers prefer companies that respond to reviews. A positive review calls for a personal thank-you. A negative review calls for a polite answer that acknowledges the customer's experience and moves the conversation to a private channel.

Review Collect writes a personalized reply to every published review, in your brand's tone, in under 60 seconds (Enterprise plan). Your team validates the first replies during onboarding. Methods and templates: how to respond to Google reviews, automatic AI replies. See the review responses page.

When a customer gives a low rating, they land on a feedback page in your brand's colors. Your team receives an alert with the comment and the customer's contact details and can follow up quickly. The customer always keeps the choice to publish: 93% of dissatisfied customers who are contacted prefer to resolve the issue privately over publishing a negative review. See the page on negative review management.

What does a good reply to a negative review look like?

Here is a template reply to a two-star review that reports a late delivery. Adapt it with your own details:

Hi [first name], thank you for taking the time to write. Your parcel arrived late and we understand the frustration: that is not the level of service we aim for. We checked your order with the carrier. If you like, write to us at [email address] and we will find a solution together. The [brand] team

The reply follows four habits: thank the customer, acknowledge the problem without making excuses, name a specific action and offer a private exchange. Every future buyer who opens the review reads it too. More examples here.

How do you analyze reviews to improve your business?

The same words come back from one review to the next: delivery time, product quality, customer service. Group the comments by theme to see what satisfies your customers and what annoys them. Start with the rating trend, which the Review Collect dashboard shows over 30, 60 and 90 days, then read the comments behind each dip. See review insights.

Which metrics should you track?

Five metrics are enough: the average rating per platform, the number of reviews per month, the response rate, the average response time and the themes that keep appearing in negative reviews. Review them monthly and compare with the previous month, not with a theoretical target.

Which customer review management software should you choose?

Check that the tool covers four things: collection on several channels, sending reviews to the platforms your customers read, replies to published reviews and one dashboard for all your reviews. Review Collect covers these four points (replies are part of the Enterprise plan). It is customer review management software that feeds your existing review platforms without replacing them, and it connects to Shopify, WooCommerce or PrestaShop in 48 hours, with no developer. The demo takes 20 minutes. To compare options, read our comparison of customer review software.

How do you stay compliant with review rules?

Three rulebooks apply depending on where you sell, and all three target fake and misleading reviews. In the United States, the FTC rule on consumer reviews and testimonials (16 CFR Part 465) has applied since 21 October 2024 and bans fake reviews. In the United Kingdom, the Digital Markets, Competition and Consumers Act 2024 prohibits submitting or commissioning a fake consumer review and publishing reviews in a misleading way. In the European Union, the Omnibus Directive (2019/2161) has applied since 28 May 2022: if you give access to consumer reviews, information on whether and how you check that they come from real buyers is treated as material.

In practice, display only reviews you collected in a traceable way and never buy any. This is general information, not legal advice.

Offering the chance to publish only to satisfied customers, known as review gating, goes against the rules of Google and Trustpilot. In Review Collect, the customer always keeps the final choice to publish, whatever their level of satisfaction. The alert to your team adds to that choice and never replaces it.
